Exclusively for NAPPI UK clients, PBS Cloud is a unique online behaviour and incident documentation system, built on the NAPPI Positive Behaviour Support (PBS) Model.

FAQ’s
Is there anything I need to know first, in order to use PBS Cloud?
PBS Cloud is used exclusively by teams adopting the NAPPI PBS Model. Training needs will be bespoke to each service, however as a minimum, training of the NAPPI PBS Model (available via remote delivery) is provided.
Does it integrate with other systems?
Yes, the system has an API which enables it to communicate with third party systems, subject to their availability and associated costs.
How and where is the data stored?
All data is held in our UK data centre, and does not leave the UK GDPR legal space.
How can I access the system?
The system is accessible on all modern internet connected devices via your web browser.
Does PBS Cloud work on a mobile phone?
Whilst you can access PBS Cloud via a mobile phone, the incident entry system isn’t optimised for small screens due the amount of data it needs to capture to complete a full incident report, so some areas are best used on a PC or tablet.
Can I send information to other professionals? E.g. social workers, school staff or parents?
The system has a save/print to PDF facility for certain information, which enables you to print out or email copies to relevant social workers, school staff or parents. This includes individual chronology, incident and data reports.
What do we do if the system or internet goes down?
PBS Cloud is monitored 24/7/365 and pro-actively monitored to reduce the risk of any downtime. All data is automatically replicated to an external server, so in the event of an anticipated prolonged outage, we can activate a duplicate system to ensure business continuity. If your own internet is down, you should still be able to access PBS Cloud via 4g/5g mobile networks, subject to your own IT configuration.
What support do I get to use the system?
Support is provided during the initial set up phase, via telephone, email, or videocall (using Zoom or MS Teams). Reporter and Reviewer training can be provided to as many as 18 users (attending via remote delivery) at no additional cost. On-going system and technical support are always available.

Are different levels of log in/permissions are available?
The system has multiple levels of permissions. These are:
- Reporter – the user can submit new reports for review, has read-only access to any relevant service user records and past incident reports which have been reviewed.
- Reviewer – the user can submit new reports and also review any submitted to them. The user can control the service users’ behaviour scales and service user information, such as important contact details, etc for service users under their care.
- Overviewer – the user can submit and review all records from within that organisation.
What if I don’t need to use some areas of the system?
PBS Cloud is a modular system, so by default all users get access to service user and staff records, incident and low level behaviours reporting, and green activity reporting. In addition, you can opt to have attendance recording, safeguarding and accident reporting.
PBS Cloud looks great, but there’s something else we’d like it to do. Can you accommodate this?
PBS Cloud allows for custom development for individual clients, so if you have specific needs which vary from the standard entry screens, or specific reports, we can build customised pages for you. This is a chargeable service and the price is given prior to starting any work. The cost is dictated by the amount of work required to build the custom element for you.
If I ever wanted to leave PBS Cloud, how do I take data out of the system?
You can access some of your data via the API, and anything not available via the API will be made available in a digital format.
